ESSENTIAL DUTIES AND RESPONSIBILITIES: • Coordinates the planning, developing, organizing, implementing, evaluating, and directing of administrative office policies and procedures. • Interprets the facility’s policies and procedures, providing clarity and definition to office personnel. • Organizes, evaluates and monitors business office operations in accordance with established policies. • Performs administrative requirements such as completing necessary forms, reports, etc., and submitting as required. • Consults with facility personnel concerning their administrative needs, and other related areas, to assist in eliminating/correcting problem areas, and/or improvements of services. • Provides information to resident/families as necessary, or refer to appropriate department or agency. • Inputs resident financial information within the billing system in coordination with facility Business Office Manager • Responsible for the direct billing of all payors other than private. Communicates with facility Business Office Manager and/or Administrator regarding all balances to be billed privately, and will decide what adjustments must be made. • Collects all accounts receivable, excluding private pay.. • Complies with laws and regulations applicable to position and acts in accordance with Company Compliance Program. • Maintains confidentiality of all pertinent resident care information to assure resident rights are protected. • Makes deposits by using scanners and going to the bank. • Other duties as assigned Primary Billing • Reviews census information daily and bills accounts accordingly. • Inputs resident financial information within the billing system and maintains accurate and complete financial data for each of the residents, both with the computer system and a hard copy resident file. • Reviews billings generated by the nursing facility and/or is responsible for the direct billing of all third party payers (Medicare, Medicaid, Co-Insurances, Managed Care, Etc.) • Is responsible for following up directly with all payers to ensure timely payments • Maintains accurate filing of remittances and claims • Generates Medicare, Medicaid, and Manage Care bills in a claim format. • Processes the claims through validation to ensure that the claims pass edits, and have no errors for the submission to the insurance payer. • Researches error claims prior to submittal to insurance payers. • Enforces the filing deadline for all payers. • Is responsible for the electronic transmittal of all validated Medicare and Medicaid Claims through the Quick Care or Point Click Care systems to the correct intermediary by the 5th of every month. • Is responsible for downloading Managed Care claims that have been validated into the claim billing system of Availity or other clearinghouse. From there they will be electronically transmitted to the insurance payers or printed and mailed out manual • Ensures no pay claims for Medicare will be generated and submitted, to help ensure a resident’s benefit period is valid. • Ensures Medicare skilled claims that continue to have a RUG level of AAA will be addressed with the MDS coordinator or Director of Clinical Reimbursement at the facility. • Generates a bill report of total number of claims billed and dollar amount. • Complies with HIPPA and all laws and regulations applicable to position and acts in accordance with Company Compliance Program. • Is responsible for the interim billing cycle, monthly, and any date of discharge billing will be done weekly. Collections • Is responsible for the timely collection of all third party accounts receivable. • Is responsible for accessing Medicare claims through DDE and determining if a claim is processing to pay or not. • Corrects RTP (Return to Provider) claims resubmit to Medicare. • Identifies ADR (Additional Documentation Requested) claims and communicate back to the BOM of the facility, clinical, CBO manager, and the Director Revenue Cycle Management & Field Accounting Services.. • Verifies claims are in process for all payors through electronic means and/or phone contact with the applicable party. • Performs extensive and valid research on all accounts, and documenting those efforts in appropriate software.. • Is responsible for appealing denied claims with the proper supporting documentation. • Communicates with the BOM of the facility all documentation needed to expedite collection process, and continuously works with BOM using the CBO level protocol. • Addresses all correspondence pertaining to their respective facilities. • Submits corrected or adjusted claims. Secondary Billing • Identifies all accounts that have received primary insurance payments and have a remaining balance to be billed to a secondary insurance payer (Medicare, Medicaid, and Managed Care). • Verifies that the claim and primary payer EOB (Explanation of Benefits) or remittance matches and reflects the same dollar amount being billed. • Submits the claim along with a copy of the primary payer EOB or remittance to the secondary payer. • Documents account in Quick Care, under collection notes, when the secondary billing was sent out and to where it was sent. Credit Balances • Reviews and address all credit balances on the A/R for their facilities. • Ensures all credits are identified (refunds or adjustments), researched, and resolved. • Other duties as assigned KNOWLEDGE: • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. • Knowledge of principles and processes for providing customer and personal services.
